How to add an external client or partner to a team chat channel — by email, with no account on their side yet (2026)

A client who lives in your channel instead of in your inbox. In InterMIND you add an outside person to a channel from the member drawer by their email: a registered user is in immediately, anyone else gets an email invite and joins on sign-up, and people you have already met in a meeting are marked Met before. From then on they read the whole channel — every message, every file, every recap — in their own language, and every call from the channel is theirs to join. Who can add, what an external member sees, the invite link and how to rotate it, and how this differs from a guest of a single meeting.

How to add an external client or partner to a team chat channel — by email, with no account on their side yet (2026)

The client project runs in a channel; the client runs in email. If you searched "add an external user to a team chat", the short answer for InterMIND is: open the channel's member drawer, type their email, and they are invited — a registered user is in at once, anyone else joins on sign-up via the emailed link. This guide is the rest: who may add whom, what an external member sees, the invite link and how to revoke it, and how a channel member differs from a guest of a single meeting.

One property first, because it is the reason to do this at all: a member of a channel reads the whole channel in their own language — every message, every file's summary, every recap — whatever language the team writes in. A client from another country is not asked to follow a foreign thread; the thread arrives in theirs.

Add someone to a channel

  1. Open the member drawer. Click the participant avatars in the chat header, or right-click the channel in the sidebar → Manage group (host only).
  2. Search. The field at the top looks across your team, your contacts, the people you have met in meetings, and your organization directory. Type a name or an email.
  3. Click the person. A registered InterMIND user is added immediately, no confirm step. Someone outside — an email you type — gets a pending invite and an email; they join the channel on sign-up via the link.

The drawer tells you who is who: In channel, Pending, Met before for someone you have been in a finished meeting with, External for anyone outside your team. Hosts see an Invited — pending section with a Revoke invite button on each outstanding invite.

The Invite members button in the drawer opens the other two ways in:

  • Invitation link — anyone with the link can join the channel. Copy it into the contract email or the kickoff deck. If it leaks, Regenerate: the old link stops working immediately.
  • Email invites — paste addresses separated by commas, spaces or new lines and click Send Email Invites. Each recipient gets a link to join this channel; addresses already in the channel or already invited are flagged before anything is sent.

What an external member gets

Everything the channel is: the messages, the files and their summaries, the history from before they joined, and every call started from the channel — the Join button at the top of the chat is theirs too, no approval step, because the channel's membership is the guest list. After each call the recap posts back into the channel, and they read it in their own language.

What they do not get is your team: joining a channel by invite makes someone a member of that channel, not of your organization. The team's other channels, its directory and its settings belong to the team's members.

For the one-off case, the guide to joining a meeting covers the guest path.

Remove, rename, archive

Tap a member row to remove that person; the host's row is fixed. Rename the channel from its header or the sidebar menu (host only). When the project ends, right-click → Archive: the channel leaves the main list, stays searchable in the archive view, and can be restored. Deletion — permanent, all messages and files — is available from the archive view only, after a confirmation.

FAQ

Can I add someone who does not have an InterMIND account to a channel? Yes. Type their email in the member drawer, or send an email invite. They get a link and join the channel on sign-up; the account is free.

Will my client understand a channel written in another language? Yes. Every member reads the channel in their own language — messages, file summaries, recaps — whatever language it was written in.

Can an external member join calls from the channel? Yes. The Join button at the top of the chat is the same for every member; the channel's membership is the guest list, so there is no approval step.

What can an external member see of my team? The channel they were added to — its history, files and calls. Membership of the team, with its other channels, directory and settings, is a separate invitation.

What if the invitation link leaks? Click Regenerate in the invite dialog. The old link stops working immediately.
