Pay only for the people who use it: InterMIND moves to per-active-member billing

Pro and Business stop selling seats you assign by hand. Invite your whole team; each renewal counts the members who were active in the previous 28 days and bills only for them. A member who goes quiet keeps their access and costs nothing; meeting guests and outside channel participants stay free. What counts as active, how the number moves inside a billing cycle, what the letter before renewal says, and what changes on your billing page.

Until now a Pro or Business subscription worked like most software: you bought a number of seats and assigned them to people by hand. The seat was paid for whether the person used InterMIND that month or not, and a colleague without a seat could not use the paid features until an admin freed one. That is the one place in the product where the host paid for a promise instead of for use, and it produced two mistakes in both directions at once: money for people who had moved on, and a locked door for people who had just joined.

We are replacing it. From the switch, the right to use a paid plan comes with membership in a paid organization, and each renewal bills only the members who were active in the previous 28 days. Invite everyone; the invoice follows what actually happened. Messaging tools call this model fair billing, and the rest of this post is the exact rules of ours.

Nothing changes for participants. The host provides the space; everyone they invite takes part in the language they think in and pays nothing, whether they sign in or join as a guest.

What counts as active

Three actions, all recorded on the server side, so the count cannot be gamed or accidentally inflated by a browser tab:

  • Joining a meeting. The moment a member enters a room, as a host or a participant.
  • Writing in a chat. A message, a file or a voice note in any channel of the organization.
  • Asking Mia. A question to the organization's AI assistant.

Signing in, opening the app, reading a channel, receiving a recap by email: none of these counts. A member who only reads for a month is not billed for that month.

A person the admin invited who never took any action is not a member for billing purposes either. The counter starts on the day of the first action, not on the day of the invitation. Slack, whose Fair Billing Policy is the reference for this model, bills a paid workspace for the members actively using it and treats a member with no activity for more than 28 days as inactive; our count starts one step later, at the first action, so an invitation that nobody accepts costs nothing (checked September 2026, source below).

How the number moves inside a cycle

The billed number is the organization's active-member count, and it moves by two rules:

  • Up, on the day it happens. When a member takes their first action in the current cycle, the count grows by one that day, and the difference is billed for the rest of the cycle. On a monthly plan the prorated amount appears on the next invoice; on a yearly plan it is charged right away for the rest of the year, so that a colleague who starts in month two is not free for the remaining ten.
  • Down, once, at renewal. One day before the renewal, the count is set to the number of members who were active in the previous 28 days. A member who went quiet in the middle of a cycle is dropped at that point, not earlier.

We do not issue mid-cycle credits for members who go quiet. That is a deliberate simplification: the rule is easy to read on the billing page, and a member who stops using the product is simply not on the next invoice. The owner is always counted, so the number never goes below one. The count never exceeds the number of members in the organization, and each plan keeps its member ceiling as before.

What you see before you pay

  • Manage members shows an Active column with each member's last activity, and a line at the top: N of M members active in the last 28 days, billed at the next renewal.
  • The billing page shows the same line next to the renewal date.
  • A letter three days before renewal goes to the owner and the admins: how many members the invoice will count, the amount when the plan price is known, and which members are quiet and not billed. It is written in the language each recipient reads.

If the count in the letter is not what you expect, three days is enough to look at the members list and, if needed, remove someone before the renewal.

The trial, the plans, and the contracts

The 14-day trial stays as it is: a card at checkout, nothing charged until the trial ends. The first invoice after the trial counts the members who were active by then, the owner included.

Plan prices, the yearly discount and the free Basic plan are unchanged and stay on the pricing page. What goes away is the seat: there is no quantity to choose at checkout and no seat count to edit in the customer portal, because the application sets the number from activity.

Enterprise and partner agreements keep a committed number of members written into the contract. That is a term of the agreement, not a different product; the space works the same way.

When

The change is rolling out now. Your organization moves to the new count at its first renewal after the switch; until then, invoices stay exactly as they are. The Active column and the "N of M" line appear on your members page first, so you see the number before it ever reaches an invoice.

FAQ

What counts as active on InterMIND? Three server-side actions in the previous 28 days: joining a meeting, writing in a chat (a message, a file or a voice note), or asking Mia a question. Signing in, reading a channel and receiving a recap do not count.

Do meeting guests or outside channel participants cost anything? No. Only members of the paid organization are counted. Guests who join a meeting by link and people who take part in a channel without being members of the team are free, as they were before.

What happens to a member who goes quiet? They keep their access and every right of the plan. At the next renewal they are not counted; if they take an action again later, they are added to the bill on that day for the rest of the cycle.

When does my bill change? Inside a cycle it can only go up, on the day a member takes their first action. It goes down once, one day before renewal, to the number of members active in the previous 28 days. A letter three days before renewal shows the count in advance.

How does this work on a yearly plan? The same way. A member who becomes active in the middle of the year is charged for the rest of the year right away; members who went quiet are dropped at the yearly renewal.

Can I still buy seats for people who have not joined yet? No, and you do not need to. Invite them; they are counted from the day of their first action, and an invitation that nobody accepts costs nothing.

Does an Enterprise contract with a fixed number of members change? No. Enterprise and partner agreements keep the committed number written into the contract.
