Google Workspace alternatives for teams that work across languages (2026)

Search "Google Workspace alternatives" and the lists agree with each other: mailbox size, storage per user, how close the Docs clone is, price per seat. Useful if the bundle is your problem. Useless if your actual problem is that your team's everyday communication happens in more than one language — the Chat space, the Meet call, the doc someone pastes at 6 pm — because on those lists every alternative is the same product: a bundle of apps around communication in one language.

This is the other comparison. If you're leaving Workspace (or deciding not to) because a Lagos account manager, a Kraków engineer and a Jakarta support lead share one space, four axes decide the purchase — and none of them is the mailbox:

1. Messages: does each member read the space in their own language — automatically, or one message at a time on request?
2. Meetings: does every participant hear the call in their own language, or does someone hold a plan or license that the rest don't?
3. Afterwards: what does the history look like a month later — and in whose language?
4. Where it lives: can you name the jurisdiction the messages, files and recordings sit in?

Here is Google's own baseline on those axes, then the alternatives people actually evaluate — Microsoft 365, Zoho Workplace, Proton, Nextcloud Hub — then us, with one table across all of them. Every competitor fact comes from the vendor's public documentation, checked August 2026, linked in the footer. Prices are quoted from the vendors' pricing pages on the check date; they change.

The baseline: what you'd be leaving

Workspace comes in four editions — Business Starter, Standard, Plus and Enterprise — listed at €6.80, €13.60 and €21.10 per user per month for the three Business tiers on Google's EU pricing page (Enterprise on request), with Gemini "in Gmail" on Starter and "in Gmail, Docs, Meet, and more" from Standard up. On the four axes:

• Messages: Google Chat's Automatic Translation turns incoming messages into "your preferred language set in your Google account settings"; "this feature requires an eligible Google Workspace or Google AI plan", and "translated messages are only visible to you". It covers the languages of Google's Neural Machine Translation model.
• Meetings: Meet's speech translation runs between English and five languages, one language pair per meeting, as a 90-minute beta, unavailable in recordings. Meet's Take notes for me writes a Google Doc in eight languages — "one language at a time. Multiple languages spoken in the same meeting aren't currently supported." Participant caps: 100 (Starter), 150 (Standard), 500 (Plus), 1,000 (Enterprise). Details: Google Meet live translation.
• Afterwards: Chat history per the admin's retention settings, in the original language; the translated view is per reader. Meet notes in one language.
• Where it lives: Data regions — "the United States or Europe" — on Business Standard and Plus, Enterprise, Frontline and Education editions, covering Chat messages, attachments, room names, and Meet recordings and transcripts. Users on other editions "aren't covered by data region policies".

If that fits your team, staying is a defensible choice. The question is what the alternatives change.

Microsoft 365 (Teams)

The alternative on every list, and the one with the most language machinery:

• Messages: a Teams chat or channel message is translated on request or automatically — "Teams can automatically translate received messages" — in 100+ languages, with no plan or license named for it.
• Meetings: translated captions in 31 languages need the organizer's Teams Premium or Microsoft 365 Copilot license; the Interpreter agent (synthetic translated speech, 10 languages) is licensed per listener and metered at 20 hours per user per month. Captions aren't saved; recordings keep original audio. Details: Teams live translation.
• Afterwards: each message stays in the language it was written in; a Recap exists for recorded or transcribed scheduled meetings, with AI notes behind Premium or Copilot.
• Where it lives: Teams data "resides in the geographic region associated with your Microsoft 365 or Office 365 organization"; the EU Data Boundary commits Microsoft to store and process Microsoft 365 Customer Data within EU/EFTA for tenants signed up there, with documented exceptions.

Against Workspace, Microsoft 365 trades Gemini editions for Copilot seats: message translation for everyone, meeting translation per licensed listener. The full comparison from the Teams side: Microsoft Teams alternatives.

Zoho Workplace

Zoho's page for exactly this search bundles "Zoho Mail, Zoho Cliq, Zoho Writer, Zoho Sheet, Zoho Show, Zoho WorkDrive, and Zoho Meeting", sold as MailLite or Workplace Professional per user per month, mix-and-matched "under the same bill".

• Messages: Cliq has message translation — an admin enables it in the Admin Panel (Configurations → Conversations → Message Translation), after which "users will be able to select the translation mode"; with Automatic Translation a user's incoming messages in languages they don't know are "translated to their default language". Zoho documents two engines, its own Zia or Google Translator (the latter with a purchased API key), and states that "Zoho Cliq does not use customer experience data to train, retrain or improve AI models in translation."
• Meetings: Zoho Meeting is in the bundle; its documentation doesn't describe translated audio or captions per participant (checked August 2026).
• Where it lives: Zoho runs European data centers in Amsterdam (primary) and Dublin (secondary); "based on the country chosen" at sign-up, "the corresponding datacenter is chosen for your account".

Against Workspace, Zoho gives the chat layer automatic translation as a standard feature behind an admin switch, EU residency by sign-up country, and a meeting layer without documented translation.

Proton for Business

The privacy-first alternative, and since 2025 a full bundle: "Mail, Calendar, Drive, Docs, Sheets, VPN, Pass, Meet, and Lumo AI" in "a single, convenient subscription", from Proton AG in Geneva — "based in Switzerland".

• Messages and meetings: "End-to-end encrypted by default." Proton Meet encrypts "all calls, screen shares, and chat messages" with Messaging Layer Security; the Professional plan hosts up to 100 participants for up to 24 hours, and external participants join "even if they don't have a Proton Account". No translation feature is documented for Mail, Docs or Meet (checked August 2026) — and end-to-end encryption by design leaves no server-side place for one.
• Where it lives: Switzerland, end-to-end encrypted.

Against Workspace, Proton answers the fourth axis as completely as a bundle can, and answers the first two with the original language only.

Nextcloud Hub

The self-hosted bundle: "Files", "Talk" ("calls, chat and videoconferencing"), "Groupware" (calendar, contacts, mail), "Office" and a "private and local AI assistant" — and "you decide where your data is: on your company's server, with a provider you trust, or maybe at home, on your own machine."

• Messages: translation in Talk and other apps runs through Nextcloud's translation API, backed by the translate / translate2 apps — local machine translation on your server — or another provider you register.
• Meetings: the live_transcription app provides live transcription and translation in Talk calls — "the transcription is done on your own server… while the translation is done using a translation task processing provider" — with Nextcloud 33, the High-Performance Backend, and an NVIDIA GPU with at least 10 GB VRAM or a 4-thread x86_64 CPU.
• Where it lives: wherever you deploy it. Enterprise pricing on request.

Against Workspace, Nextcloud puts every axis on your own hardware, including the GPU that does the transcribing.

InterMIND

We are not a bundle of office apps — no mailboxes, no spreadsheets. If those are what you're replacing, keep them: Workspace, Microsoft 365, Zoho or Proton do that job. What we build is the other bundle: a bundle of languages around your team's communication — meetings, chat, documents and their history, each in every member's own language, in a jurisdiction you choose. Stated on the same four axes:

• Messages: the space is translated for each member as its default behavior — chat and shared notes in 23 languages, documents in 30. No per-message Translate, no eligible-plan gate, no admin switch: a member who reads Polish reads the channel in Polish. (Why the numbers differ per pipeline.)
• Meetings: every participant picks their language on joining and hears every speaker in it, simultaneously, in the speaker's own voice — no English anchor, no per-meeting pair, no per-listener license. Participants pay nothing and need no account — a link is enough. (Why participation is free.)
• Afterwards: the meeting persists as a channel — chat history readable in each member's language, the recap delivered to signed-in members in theirs, documents in the same space; your own chats export as a ZIP and restore. (How much of your meeting still exists a week later · Meeting recap)
• Where it lives: EU at every runtime hop — translation on our own engine on dedicated servers in France, orchestration in Paris, database in Frankfurt, EU-resident storage; the recap on the AI gateway the organization selects, in an EU region (Azure OpenAI EU Data Zone by default), with zero data retention; document translation through one named EU sub-processor (DeepL). (Where one InterMIND meeting actually runs)

The comparison, in one table

How to choose (including when not to switch)

• Your team writes and meets in one language. Stay on Workspace — or move for the reasons the other lists cover (price, mailbox, Docs). A multilingual space solves a problem you don't have.
• You want the office bundle plus message translation for everyone: Microsoft 365 documents Teams message translation without a license; Zoho Workplace documents Cliq automatic translation behind an admin switch. Meeting translation is per Copilot seat on Microsoft's side and not documented on Zoho's.
• Jurisdiction and end-to-end encryption outrank translation: Proton (Switzerland, E2EE by default, Meet without accounts) or Nextcloud Hub on your own servers — with translation on your own GPU if you run the live_transcription app.
• Free: Nextcloud is free to self-host; Proton Meet's free tier hosts calls without an account; InterMIND is free for every participant — guests join by link, the host's plan covers the room, and the live demo needs no signup.
• The space itself is multilingual — members replying to each other in three languages, guests without your licenses, a team that needs to reread last month's decision in their own language, and a compliance officer who wants a jurisdiction they can name: that's the case we built InterMIND for — keep your mailboxes where they are.

FAQ

What can I use instead of Google Workspace?

For the office bundle: Microsoft 365, Zoho Workplace, Proton for Business, or self-hosted Nextcloud Hub. For a team that doesn't share one language, compare the fences instead of the logos: Teams translates messages for everyone and meetings per Copilot seat; Zoho Cliq translates automatically behind an admin switch; Proton and Nextcloud keep the original language (Nextcloud can translate on your own GPU); InterMIND translates the whole space — chat, meetings, documents, history — for every member on the host's plan, and leaves mail and spreadsheets to the bundle you keep.

Is there a free Google Workspace alternative?

Nextcloud Hub is free to self-host; Proton Meet's free tier hosts calls with no account needed; Zoho and Microsoft price per user. InterMIND is free for participants by design — guests join by link without an account, and the host's plan covers the room; the live demo needs no signup.

Is it cheaper to use Google Workspace or Microsoft 365?

Compare the editions that actually contain what you use. Google's EU pricing page lists Business Starter at €6.80, Standard at €13.60 and Plus at €21.10 per user per month (regular pricing, checked August 2026); on the language axes, Chat translation needs an eligible plan and Meet's speech translation is a beta. On Microsoft's side message translation is documented without a license, while meeting translation sits on Teams Premium or Copilot licenses per organizer and listener. The cheaper bundle depends on which of those layers your team needs.

Which Google Workspace alternatives keep data in Europe?

Workspace itself offers a Europe data region on Business Standard and above. Microsoft 365 stores EU/EFTA tenants' data within the EU Data Boundary; Zoho assigns Amsterdam or Dublin by sign-up country; Proton is in Switzerland; Nextcloud runs wherever you deploy it. InterMIND runs in the EU at every hop — France, Paris, Frankfurt — on every plan.

Which Google Workspace alternatives translate chat and meetings?

Chat: Teams (100+ languages, no license), Zoho Cliq (automatic, admin-enabled), Nextcloud with its translate apps, InterMIND (23 languages, as the default). Meetings: Teams' Interpreter agent (10 languages, per licensed listener), Nextcloud's live transcription with translation on your own hardware, InterMIND (every participant hears every speaker in their language, 23 languages). Google's own Meet translates English ↔ five languages, one pair per meeting; Proton documents none.

Does Google Chat translate messages automatically?

Yes — Automatic Translation converts incoming messages to the language set in your Google account, "requires an eligible Google Workspace or Google AI plan", and the translations "are only visible to you". The stored message stays in the language it was written in.
