How to export a WhatsApp chat (2026): what Export chat does, what it doesn't, and what to do when the option isn't there

Export chat sends one conversation as a text file, with or without media, through your phone's share sheet — and that's the whole feature. What it means, where it is on Android and iPhone, why the other person can block it, why backup and transfer are different things, why the option is missing in Germany, and what to do when the chat you're exporting is actually your team's record.

How to export a WhatsApp chat (2026): what Export chat does, what it doesn't, and what to do when the option isn't there

"Export chat" is one of those WhatsApp menu items people tap without knowing what it does — and search for afterwards. The short version: it sends one conversation out of WhatsApp as a text file, optionally with recent media, through whatever your phone can share to. It isn't a backup, it isn't a transfer to a new phone, and it isn't available everywhere. Here is the feature as WhatsApp documents it, checked August 2026, and the cases people actually have when they reach for it.

What "Export chat" means

Export chat produces a file of a single chat's messages — a .txt with one line per message, timestamped — and hands it to your phone's share sheet. WhatsApp's help article describes the destinations as the usual share targets: "you can export chat history using methods such as Message, Mail, or Add to Notes." If you choose to include media, "the most recent media sent will be added as attachments" to that share.

Two consequences follow from that design:

  • It's per chat. There is no "export all chats" — that's what backup is for (below).
  • It's a copy, not a move. The chat stays in WhatsApp; the file is yours to email, save or print. Nothing about the conversation changes.

How to export a chat on Android and iPhone

  • Android: open the chat → More options (⋮) → MoreExport chat → choose Include media or Without media → pick where to send it.
  • iPhone: open the chat → tap the contact or group name → scroll down → Export chat → choose Attach media or Without media → pick where to send it.

The exact labels come from the app; WhatsApp's help article for the feature is How to export your chat history. Media adds size fast — for a long group chat, Without media is usually the version that actually sends.

Does the other person see that I exported the chat?

WhatsApp's documentation of Export chat describes no notification to the other side. What it does document, since April 2025, is the reverse control: with Advanced Chat Privacy turned on for a chat, "you can block others from exporting chats, auto-downloading media to their phone, and using messages for AI features" — "you can turn this on by tapping the chat name, then tapping on Advanced Chat Privacy." So if Export chat is greyed out or missing in one specific chat, the other participant may have switched that on.

Export, backup, transfer: three different things

Backups and transfers stay inside WhatsApp; only Export chat gives you a file you can open elsewhere. And WhatsApp itself keeps none of it: "we do not retain your messages in the ordinary course of providing our Services to you. Once your messages are delivered, they are deleted from our servers." The record of a WhatsApp conversation exists on the participants' phones and in their backups — nowhere else.

When the option isn't there

  • In Germany, Export chat isn't offered. The option has been absent from the app for German users since 2019, as reported in the press at the time; WhatsApp's help center doesn't document the restriction or its reason (checked August 2026). The documented alternatives — backup and transfer — work, but produce nothing you can read outside WhatsApp.
  • In one specific chat: see Advanced Chat Privacy above — the other participant can block exporting.
  • On WhatsApp Web / Desktop: Export chat is a phone feature; export on the phone.

Export chat to PDF

WhatsApp exports text, not PDF. The documented route to a PDF is the share sheet: send the export to Mail or Notes, open it on a computer, and print to PDF — or share the .txt straight to a file app. Third-party "WhatsApp to PDF" tools do the same conversion, with the difference that they need the chat taken out of the encrypted app and handed to them first.

When the chat you're exporting is your team's record

Most exports are one-offs: a landlord's message, an order confirmation, a conversation someone wants on paper. The recurring export is a different signal. If you're exporting the same group every month because the decisions live there, or because the customer conversation has to be filed, or because half the group writes in a language the other half can't read, you're using a phone messenger as a record system — and the export is doing the job the tool doesn't.

What does "export chat" mean on WhatsApp?

Is export the same as backup?

No. A backup (Google Account or iCloud, optionally end-to-end encrypted) saves all your chats in a form only WhatsApp can restore, on the same phone number. Export chat gives you one conversation as a readable file. Transferring chat history is a third feature, for moving to a new phone.

How long does WhatsApp keep my chats on its servers?

It doesn't, once delivered: "once your messages are delivered, they are deleted from our servers"; an undelivered message is kept "in encrypted form on our servers for up to 30 days" while delivery is retried. Your chats exist on the phones in the conversation and in their backups.
